5S + 1 = 6S


Last week we talked about TIM WOODS and the 8 Wastes inherent in most businesses. Now that you are thinking about waste, the 5S+1 of lean may help keep some of that waste from resurfacing. Over the last 3 years I've talked about the 5S many times so this is a review plus an important addition.
If you ask yourself "How can I improve efficiency, work organization, quality, safety and housekeeping and protect my investment at the same time?" then 6S may help you simply be better at keeping "it all together".
Based on Japanese words that begin with 'S', the 5S Philosophy focuses on effective work place organization and standardized work procedures. 6S adds Safety to the mix. 6S simplifies your work environment, reduces waste and non-value activity while improving quality, efficiency and safety. We know that goals never happen without plans and the first plan may be to implement the 6S's in your office which are:
  • Seiri = Sort or Tidiness. Examine everything on your desk and sort by use: daily or weekly. If it isn't used weekly, it needs a new location. Being able to find anything in 5 seconds will save time and satisfy customers. What's leftover. . . when in doubt - throw it out!
  • Seiton = Simplify. Keeping everything in its place and organized in a useful manner. Misplaced items waste time and drain energy.
  • Seiso = Sweep or Cleanliness. Cleaning includes getting things cleaned and keeping them clean, first and foremost, but also preventing messes. An uncovered coffee mug is often a disaster just waiting to happen.
  • Seiketsu = Standardization or Sustain. Developing standards and procedures to maintain the appearance is always good and often reduces stress. Standards can also help everyone recognize when "stuff" is out of place.
  • Shitsuke = Self-Discipline. Developing the habit and reviewing what works is part of self-discipline and sustaining change. When things change, sometimes habits have to change, too.
  • Safety = Always arrange work with safety in mind. Maintaining a safe work place and striving for zero accidents and injuries means eliminating hazards. This is respect for individuals and assets - it is that simple.

Did You Back Up??

Getting Ready for the Holidays

Sometimes, practical tips are just what is needed in this busy season. I talk about Lean Office, Lean Management and two big "take-aways" of lean are:
• The customer IS why you are in business
• Waste is the ultimate profit stealer


So, two of the biggest times wasters that don't add to the customer experience are Looking for Something and Fixing Something that should have been Done Correctly the First Time.


This leads to two tasks we really need do before the New Year if we are not already and making sure we have a system in place going forward.
1. Back up our computers.
2. Create an Internet Password Journal that doesn't rely on our memories.


These two jobs can save countless hours. I actually create a clone of my hard drive so that when a crash occurs, I will be able to plug in a drive that is ready to go with all my data and programs.


Although most of my passwords are stored in a database, I also keep an old fashioned written record. I use a simple spiral journal that was actually designed for this to make sure I capture everything. I can't tell you how many times I refer to it in a week. Create a schedule so you are backing up regularly and do try to restore a file occasionally to make sure the backups are working .


Happy Holidays and time spent now will save in the future as I've never met a hard drive that didn't want to crash. . .eventually.

1. Guidelines of Brainstorming
============================================================
August is a time when many businesses start thinking about making the next year great so planning and retreats are often done to form a strategic plan. Starting with some brainstorming of current problems is a great way to get others involved before the leaders set the plan. Just like the Pirate Code, brainstorming doesn’t have rules, it has guidelines and when they are used, the results are often superior to a free-for-all.
-Start with STT – silent think time – timed and quiet;
-Freewheel – everyone should feel free to contribute, don’t hold back;
-NO CRITICISM – this includes “we tried that”, eye-rolling and snickering;
-Hitchhike – build on other’s ideas;
-The more ideas the better – that is obvious;
-Post ideas – post-it notes on a window work wonderfully;
-Get a facilitator from outside the group – this person paid or volunteer will help make sure every voice is heard.

Getting team input at the beginning will mean a better plan and the staff will readily adopt the plan itself.

2. Do Not Cut Your Marketing Budget! Part 2

Last week I introduced the idea of marketing smarter during a downturn in the economy. This week, let’s explore a few more good ideas to marketing smarter:

• Make sure your website is working. At least 50% of your customers are going online to find you, so passing on a web presence shuts out more than half of your clients.
• Assess where your clients are coming from and then reinvest in that methodology. If you’ve been in newspaper and it’s not pulling – that’s ok, it takes at least a full year before print will work. Don’t disrupt your game plan. If it’s been 2-3 years and you’re getting nothing – pull out NOW. (But don’t give up those dollars. Use them to do something more effective.)
• Rethink your Yellow Pages advertising. Omni Hotels made the decision not to place any phone books in their hotel rooms across the country now. They feel that their guests have that sort of information at their fingertips now thanks to nternet access on their phones or laptops. At the heart of this decision was the fact that they wanted to help save trees. A teeny tiny boldfaced name of your business in the Business Section or the Yellow Pages is good enough for 90% of all businesses. If you’re in a 24/7 type business you have my permission to buy an ad. If you’re not, don’t waste your money.

In summary: Do NOT cut your marketing/advertising budget. Instead market smarter.

3. Detach from the Outcome

Patiently Detach From the Outcome is the Eighth Principle in Manifest Your Destiny by Wayne Dyer. Patience, I’ve heard it’s a virtue, have you? It’s one that’s eluded me for most of my life, until I finally got it. My motto used to be “I want what I want and I want it now”, does that sound familiar? According to Wayne Dyer that is one of the main reasons people don’t manifest their desires.

It’s when you shift away from impatience and into inner knowing, that you begin to attract those things you want into your life. Dyer says “Those who are certain of the outcome can afford to wait, and without anxiety.”

So, the secret to being patient is in having trust in the certainty of the outcome. This knowing then puts you at ease so you can release having to know the how or the when something will manifest. Impatience is the failure to trust.

To practice this principle:
1. Banish doubt and enter the realm of certainty. When you hear yourself doubting your ability to manifest your desire, stop that thought and remember that anything you ask for is yours automatically, just by asking.
2. Let go of expectations. Remain completely detached from the inclination to measure and calculate what is and is not showing up for you. Just believe everything is working as it is supposed to.
3. Release all judgments. Leave behind all judgments and become totally accepting of all that arrives.

1. Success Begins with You

When thinking about being successful, a good way to start is by surrounding ourselves with things that will emulate what we believe is successful. Hang out with smart, talented and creative people. Check out and read some great books. No time for books, listen to audio books or programs. Eating lunch alone, find people you’d like to meet and interview them over lunch. By creating opportunity and optimism, we will be shaped by these things. So, get started with a few simple tricks:
1. Spend time with dynamic people that will help you move forward,
2. Build a plan for the next twelve months that stretches your outcomes,
3. Carve out several hours a week to work on the future, and
4. Finally, identify and stay away from dream dashers – if you need a reality check, hire a coach or counselor.

Mr. Masaaki Imai, with his book "KAIZEN, the Key to Japan's Competitive Success" Kaizen: The Key To Japan's Competitive Success explained that about ninety-five percent of the people in this world have absolutely no interest in taking action to improve their lives – we have the choice to be the exception!

2. “Dream Big Days”

Jan Wallen, Visioneer, (JanWallen.com) is a firm believer in “Dream Big Days.” What the devil is a DBD? It’s simple: it’s a day where you escape from your office and you spend it dreaming about what you want your business to be. Dream about the future, where do you want your business to be in a year, 5 years, 10 years. Also figure out which client is the best fit, if you want to another product to your arsenal, and once built who you'd sell the business to. Jot all of your dreams down on paper. Once you have captured your dreams, back up and start looking for ways that you can work on the dream one day at a time. Jan believes (and I agree) that no dream is too big to be realized as long as you plan for that success.

3. Law of Attraction – Step 4, Allow, Part 3 – Gratitude

Gratitude is the single best thing that you can do for yourself in terms of keeping your attitude, energy and vibration positive. Let’s say you want to attract 5 new clients in January. Each day be grateful for those new clients as if they’ve already arrived.

Now fast forward to the week of January 28th and you have attracted 3 new clients. Don’t despair that you only have three new clients, instead continue to practice gratitude; celebrate and acknowledge what HAS happened and with 4 days remaining, you never know what might show up. Gratitude for all that has happened so far, will reset your vibration to the way you want things to be and as always, Law of Attraction responds and matches your vibration.

4. Four Ways to Market Your Business

Marketing Reality Check – How many ways are there for you to increase your business? Hundreds? Thousands? Try…FOUR!

Advertising - Effective advertising (tv, radio, newspaper, websites, billboards, pens, balloons, etc.) can strengthen your image, create awareness and generate leads by sending your message to targeted, large audiences. It does require an investment of money…and even multi billion dollar businesses have budgets. Are your advertising efforts producing all the sales you need? If so, stick with it. If not, consider complimenting it with another form of marketing.

Public Relations – Much like advertising, public relations can strengthen your brand and name recognition (especially for larger companies). While successful PR campaigns can produce some sales, most companies are equally interested in increasing their credibility through these efforts. It too requires an investment of money. Though it typically won’t make a “quick” difference on your bottom line; you can realize results.

Cold Calling – I was in staffing for years and this was the way my mentors taught me to build the business. I knew that if I made 60 cold calls a week, I’d set 10 appointments, which would generate 5 proposals and produce 2 new clients…WEEKLY. I didn’t love it, but I got good at it. The cost – time, gas money, wear and tear on the car…not to mention my high heel shoes!!! Knowing your numbers and consistently working them are key.

Word of Mouth – “Relationship marketing” has long been proven to be the most cost effective form of marketing. The main investment…time! It’s about STRATEGICALLY doing the right things, with the right people at the right time to develop long term relationships that ultimately (and continually) produce SALES!

You can go with advertising alone if your budget produces all the results you need. PR is typically best used in conjunction with other forms of marketing. Cold calling…not for me thank you. All things considered, WORD OF MOUTH can be a great method of choice!
